Booking Procedure

Upon completion of the booking form, our reservations team will send a pro forma invoice with all booking information. If the enquirer is satisfied with the quote, a 50% deposit must be paid and a proof of payment sent back to our reservations team. This will confirm the booking. If a deposit is not made, the booking will not be confirmed and the room will be released. All Accommodation Costs must be pre-paid in full prior to the Arrival Date unless otherwise agreed in writing with Kolping.

Cancellation Policy

We may impose a cancellation fee in circumstances other than death or hospitalisation (proof required) having regard to the nature of the booking, length of notice of cancellation and reasonable potential to find alternative customers. The following reasonable charges will apply:

The cancellation penalty shall be determined by Kolping, in its discretion, based on the figures indicated in the Pro-Forma Invoice and having regard to the length of notice of cancellation, the reasonable potential to find another guest between the time of receiving the cancellation notice and the time of cancelled reservation and the general practice in the hotel and leisure industry.

All rooms that have been confirmed will be held until 22h00 on the scheduled date of arrival at which time the Guest House may re-let the room without further notice, unless notified of a late arrival.

Cancellation charges will be calculated based upon the figures and details provided in the Pro-Forma Invoice.

Individual Guests

  • Cancellation within – 7 days, liable for full account
  • Cancellation within – 14 days of arrival, liable for 50% of the account.
  • Failure to arrive on booking date, guest will be held liable for full account.
  • In the event of a premature departure the full extent of the stay, as originally booked and confirmed, will be charged.
  • All rooms that have been confirmed will be held until 22h00 on the scheduled date of arrival at which time the Guest House may re-let the room without further notice, unless notified of a late arrival.

Group Bookings

  • Cancellation within – 14 days, liable for the full account.
  • Cancellation within 15 – 28 days (4 weeks) liable for 50% of the account.
  • Failure to arrive on booking date, person/company responsible will be held liable for full account.
  • In the event of a premature departure the full extent of the stay, as originally booked and confirmed, will be charged.
  • All rooms that have been confirmed will be held until 22h00 on the scheduled date of arrival at which time the Guest House may re-let the room without further notice, unless notified of a late arrival
  • Rooming Lists must be provided to Kolping in writing (substantially in the format attached to the Quotation Document) by no later than 14 (fourteen) days prior to the Arrival Date.
  • Kolping shall, for purposes of any Group Reservation, open and maintain a Master Account for the duration of any reservation.
  • Payment of the Master Account shall be made on departure, unless Credit has been granted in which event payment shall be made within 30 (thirty) days after the date of the Master Account

Terms and Conditions of Payment

  • Individual guests to settle outstanding balance latest at departure.
  • Corporate accounts 7 days after invoice date. Failing to do so, interest will be charged at 3.5% monthly.
  • Only upon mutual agreement in writing, will later payments from companies be acceptable without attracting interest charges.

Refund Policy

  • On any refund, please note a 10% handling fee will be deducted.

Restaurant Policy

We endeavour to serve the highest quality food to our guests at all times. We kindly request that if you should find that your food is not satisfactory, the defective food must be reported immediaterly to the waiter/manager on duty, failing which we will assume that our high standards have been met.
